The Oblate Service Corporation-Oblate Madonna Retirement Residence is seeking applicants for a BUSINESS OPERATIONS MANAGER, in a peaceful and calm environment. Many of the residents are independent or semi-independent. The Oblate Madonna Residence is inspired by the compassion and love of Jesus Christ ministering among the sick and needy> The staff focuses on one priority: provide the best for faith-filled, personal, professional, and holistic care for every resident.


POSITION: BUSINESS OPERATIONS MANAGER


POSITION STATUS: Full-time, Exempt


SUMMARY: Manages office activities, oversees Dietary, Housekeeping and Maintenance departments, and ensures the facility's daily operations run smoothly. Is responsible for the preparation and monitoring of the facility's budget. Maintains the financial and administrative records of the facility. Personnel Management Oversees the Dietary, Housekeeping and Maintenance departments. Oversees the hiring and termination of members of these departments in consultation with the Human Resource Manager. Conducts annual performance reviews of the Dietary, Housekeeping and Maintenance staff. Collaborates with HR in providing orientation and in-service training for staff. Ensures the assigned tasks are performed correctly, efficiently, and effectively. Keeps abreast of Province policies and procedures, informs staff of such policies and procedures, and ensures the staff's compliance. Investigates and documents all employee work injuries and incidents and provides the Human Resource Manager with the information for Workers' Compensation claims. Manages a safe work environment for all employees. Schedules for periodic meetings with the staff to ensure the quality of the care provided to the residents. Financial. In conjunction with the Assistant Controller and the AP-Payroll Specialist, manages general accounting tasks, such as accounts payable, credit card use, petty cash, and budgeting. In conjunction with the Assistant Controller and AP-Payroll Specialist, ensures the timely processing of payroll. Prepares and monitors the budget. Ensures the purchasing, management, and maintenance of the facility's vehicles, equipment, and supplies. Manages and annual reviews dealing with vendors and service contracts. Working with the Assistant Controller prepares cost estimates for equipment or projects. Facility Performs weekly walks through the facility to assess cleanliness and state of the equipment, buildings, and grounds. Ensures the security of the entire facility and coordinates safety programs. Coordinates all building maintenance issues and schedules. Coordinates the use of the facility and the scheduling of events. Office Administration Coordinates with the Nursing Manager and the Superior, admission of new residents or any transition to a different level of care. Attends the Quarterly Listening Sessions. Meets with the Superior and the Supervisor of Nursing as needed.

Attends quarterly care meetings with the Superior, the Province Clinical Director, and the Supervisor of Nursing. Be available to deal with emergency issues is they should arise. Prepares reports as requested by the Assistant Controller or the Superior and Administrative Team. Meets regularly with and performs other duties as assigned by the Superior and Administrative Team.


EDUCATION/SKILLS: High School Diploma or GED is required; Bachelor's degree is preferred.

Minimum of six years of office management experience is required. Minimum of two years of experience as a supervisor is required. Minimum of five years' experience in work order management is required. Minimum of five years' experience in a customer service position is required. Experience overseeing work order management in a Health Services Facilities environment is preferred. Basic supervisory and training skills are required. At Madonna residence, bilingual skills (English and Spanish) are essential. Excellent written and verbal communication skills are required. Proficiency in basic computer office applications programs (Ex: Microsoft Office software suite) and standard office machines is required. Must be detailed oriented, able to work independently or with a team, can compile data, and prepare routine reports. Must be able to work under time constraints, have sound judgment, a professional presence, and decision-making abilities. Knowledge of the history, charism, and mission of the Missionary Oblates of Mary Immaculate is preferred. Knowledge of the Roman Catholic Church and its values is required.


WORK HOURS: Regular office hours, Monday through Friday, 8 a.m. - 5p.m.
